Choose the native document when available

DOCX and XLSX keep content in structures such as paragraphs, tables and cells. They are different from a picture of a document. If you have the native file, upload that version when you want the result in the same format. The supported extensions are DOCX and XLSX; older DOC and XLS files must first be converted in your office application.

Match the mode to the next task

Placeholders can make a narrative easier to discuss without repeating original names. Blackout is useful when identifiers should not be read in the sharing copy. In Word and Excel, black blocks are replacement characters, not the same operation as painting a PDF image. Replacements can change line wrapping or cell display, so open the result in the application you use.

Review the parts a reader can access

A workbook can contain more than the first visible sheet. A document may also contain headers, footers, embedded images, comments or revision history. Check the surfaces relevant to your file and recipient. Do not treat automatic identity redaction as a promise to remove every business-sensitive number, attachment, annotation or hidden property.

Verify the copy you will actually send

Keep the original separate and give the processed file an unambiguous name. Check key paragraphs, tables, formulas and worksheet tabs before using the copy in another workflow. If the goal is a fixed visual presentation, consider whether a PDF copy is the better delivery format, while remembering that the current PDF output is not searchable text.

Before you move on

  • Convert legacy formats properly.
  • Open the result in your office application.
  • Check all relevant sheets and document regions.
  • Keep source and sharing copy separate.
